What Switching EHR Systems Actually Looks Like

Data Migration Planning

This is where we begin. We have to consult with the current EHR vendor with you to find out what data transport systems they have in place. The industry standard which is mandated by ONC for certified EHRs, is the CCDA. Most EHRs require that a request to technical support be made to schedule the creation of the data for export. The data will contain a summary of the patient record for import. We don't control what is contained in the CCDA. We can only accept what information is provided by the vendor. In general, it is enough information to begin a new journey with Tarevo.

Staff Onboarding

A new EHR only works if the staff is comfortable using it. During implementation we work directly with the front desk, clinical staff, and billing team. Instead of generic training sessions, we show staff how to complete the exact tasks they perform every day—scheduling patients, documenting visits, verifying insurance, and processing claims. Because the system is configured around your clinic’s workflow, staff members quickly recognize how their tasks fit into the overall process. This makes the transition easier and allows team members to help one another learn the system naturally. We remain available after go-live to answer questions and make adjustments.

Billing Migration

Billing is usually the area physicians worry about most when switching EHR systems. Moving electronic claim payments between systems involves clearinghouses and banking safeguards. Even when a clinic keeps the same clearinghouse, it can take 30–45 days for electronic remittances (ERAs) to begin routing through the new EHR account. Our team handles the administrative work required for this transition. We file the necessary documentation with the clearinghouse and provide all information needed to establish the new routing. Claims can still be submitted, but electronic remittances may take a few weeks to begin appearing in the new system.

Workflow Customization

Every clinic operates a little differently. When a clinic transitions to Tarevo, we work directly with the entire staff to understand how daily tasks are actually performed. Each step of the patient journey typically involves different team members. We walk through these workflows with them and show how the system supports each role. Just as important, we listen. Staff members often have practical ideas about how to make processes smoother. When those ideas are incorporated into the workflow, training becomes easier and the entire team adapts to the new system more quickly. The goal is simple: create workflows that reflect how your clinic already works, while removing friction.

What Happens After Go-Live

Turning on a new EHR is not the end of the process—it is the beginning of using the system in a real clinical environment. During the first weeks after go-live, we stay closely engaged with the clinic as the staff works through their normal daily routines. This is when small adjustments often make the biggest difference. As the team gains experience, we refine workflows, answer questions, and make improvements that help the system better support how the clinic actually operates. Our goal is not simply to install software and walk away. The goal is to ensure that the clinic becomes comfortable with the system and that the workflows continue to improve as the staff gains confidence using it.
